Human Resource Administrator

A company providing hardware and software solutions across multiple sectors including retail, financial services, education and live events; is looking for an energetic and ambitious HR Administrator who will be responsible for providing overall HR administrative support to the HR team and assisting with the recruitment needs of the business.


Recruitment and selection

  • Advertise approved vacancies internally and externally through approved advertising mediums
  • Obtain social media templates for vacancies from Design team
  • Sourcing suitable candidates through innovative means
  • Assisting with the coordination of demo days and gaming events for recruitment purposes
  • Liaising with and maintaining good relations with external recruitment stakeholders (i.e. career portals, tertiary institutions, recruitment agencies, etc.)
  • Screen and shortlist suitable candidates
  • Scheduling of interviews (1st through to final)
  • Administering skills assessments at first round interviews
  • Maintaining all electronic and hard copy recruitment files and databases
  • Interview feedback to candidates
  • Reference checks on shortlisted candidates
  • Log OTRS ticket for all New Starters


  • Notify all relevant stakeholders of New Starter details and organise New Starter set up
  • Compiling New Starter induction packs
  • Put together New Starter welcome pack
  • Conduct all new starter induction / orientation in place of HR Officer as required

HR administration

  • Maintaining all physical and electronic employee files
  • Updating and maintaining all relevant HR databases for reporting purposes (i.e. monthly reporting, EE reports, training reports etc.)
  • Assisting with HR audits where required
  • Assistance with ad hoc HR reporting where required
  • Adding new employees and making amendments to company branch list monthly
  • Update employee birthday list on Smartsheet when employees start or leave the company

EAP (Employee Assistance Program)

  • Arranging trauma counselling if required and obtain proof of attendance

Injuries on Duty

  • Submission of all workplace injuries to the Compensation Commissioner through the online submission’s portal
  • Follow up on pending claim numbers and existing claims
  • Liaise with employees and relevant medical practitioners to obtain relevant supporting documentation


  • Assist with maintaining employee profiles on the Wiki
  • Assist with maintaining and updating HR information on the Wiki

Benefit Administration

  • Scheduling meetings for employees with the company broker
  • Submitting all benefit applications through to relevant external stakeholders and following up on status of applications and amendments to policies


  • Capturing training attendance registers
  • Administration of training fund applications
  • Obtaining training feedback reports for all training conducted
  • Identify and liaise with suitable training providers on workshops/courses
  • Coordinate and facilitate all internal training on the internal HR platform


  • Ensuring tickets are logged to close user accounts of terminated employees

Health & Safety

  • Actively participate in company health and safety, ensuring compliance

Staff Wellness

  • Actively participate in culture committee and assist with coordinating ad hoc staff functions/events/wellness drives as and when required


  • Ensure that all payroll information is updated immediately on the payroll schedule as and when changes occur


  • Review and approve employee leave
  • Add new employees to TaCOS when they join
  • Terminate employees on TaCOS when they leave

Minimum Requirements

  • Grade 12 or equivalent certificate essential
  • Certificate/Diploma in HR Management or similar qualification advantageous
  • 1 year relevant HR Administration experience essential
  • 1 year relevant recruitment experience essential
  • Proficient skills in Microsoft applications, especially Word and Excel
  • Own transport with a valid code 08 driver’s license essential
