Job description

 

The primary role of the Project Manager will be to manage client events projects from start to finish. Our public relations business is primarily in the motoring space, so this activity covers events such as vehicle launches, track days, and motoring events. 

 

Secondary to this role is the ad hoc support of the day-to-day activity of the public relations team whose primary function is to promote the interests of our clients to the motoring journalism fraternity. 

 

This is a remote working role for someone based in JHB. The key benefit is the flexibility we offer as a business, but that requires a responsible individual who is mature and capable of managing their own time.


Responsibilities

 

Primary

 

  • Create project management plans specific to the events, activations, and content shoots.
  • Support the Account Director in the presentation of these plans, managing and actioning any reverts.
  • Source reliable and quality suppliers to provide the services required to execute the plan.
  • Coordinate suppliers and the internal team to action an approved project plan, on time and in full.
  • Create draft budgets.
  • Manage approved budget, immediately highlighting any forecasted over- or underspend.
  • Ensue supplier payment terms are pre-negotiated, that they are paid on time and in full through the HYS accounts team. 
  • Ensure that open lines of communication are maintained at all times, with complete transparency. 
  • Effectively brief suppliers on key deliverables, timings, budget. 
  • Maintain clear and strong lines of communication throughout the project, ensuring that any and all changes are effectively communicated and implemented.
  • Project manage the events and activity on the ground as the project lead.
  • Provide logistical support to the Relationship Manager in relation to press and or ambassador attendance / participation i.e. working in coordination with our appointed travel agent to arrange flights and accommodation.
  • Capture and feedback comprehensive key learnings to the team and client.
  • Prepare client event reports, using analytics from various monitoring tools such as Meltwater.
  • Consistently review and amend internal process documents so that a process of ‘learn and apply’, can be captured into the business’s IP.

 

Secondary

 

  • During periods of downtime in relation to any events or activations you were be expected to assist the Relationship Manager and Content Manager with administrative or digital project management support they may require. The varies from assist with deskside research of new media outlets to target, to trafficking approvals with clients. 

 

Skills & Experience

 

Required skills and experience

 

 

  • A certificate in project management, or other relevant experience.

 

  • Two to four years’ experience executing event or activation activity. 
  • Ability to plan, organise, and control work flows.
  • Manage and maintain excellent relationships with suppliers.
  • Budget acumen.
  • Excellent knowledge of and proven track record working with Google Suite.
  • Use of digital communication software such as Zoom, Microsoft Teams, Google Meet.
  • Competent and comfortable working and leading a project team.  Strong leadership presence and leadership skills will be a differentiator.
  • Competent in the ongoing facilitation and presentations of the project plans with internal teams and clients.

 

Preferable skills and experience

 

  • Experience within a public relations agency or have an understanding of the fundamentals of public relations and brand ambassadorship management.
  • Account management experience.
  • Experience in motoring.
  • Experience working with Monday.com
  • Experience using Meltwater 
  • Experience conceptualising events.
  • Film and photography shoot management.

Team 

 

Report to:        Account Director

Team support:        Relationship Manager or Content Manager (ad hoc)

 

Performance goals - first three-month period:

 

  • Within month one, establish a good working relationship with HYS suppliers, and be managing workflow on Monday.com and Google Suite. 
  • Within the first two months, be working with the relevant person in the client’s teams and have a good working knowledge of the project budgets.
  • Within three months, be able to create event concepts and plans, in a support role to the Account Director.
