SPECIFICATION   

A business consulting platform operating on a global scale is looking for Tenders Team Leader to manage the multilingual (English, French, German, Dutch) tender team and ensure the timely provision of sales support to subsidiaries. Providing compliant and timely answers to tender bids (RFI, RFP, RFP and follow up rounds of presentations to clients). Empower the team to produce creative and high-quality material across the various brands.

DUTIES & RESPONSIBILITIES, NOT LIMITED TO:

Total: +/- 8 team members based in South Africa- Cape Town

  • Highly pressurized, deadline-driven environment

  • Assume responsibility for driving forward assigned projects
  • Manage timelines effectively to ensure the project’s successful completion
  • Develop good relationships within the project team (internal) and with key information points (external)
  • Report on completed project and share success/learnings with tenders’ team

 

Coordinate and support team members in preparation of tender responses on behalf of subsidiaries worldwide

  • Excellent business writing for an international audience
  • Establishment of good relationships with key team members for each tender (internal and external)
  • Brand consistency across the board
  • Creatively putting forward the required information in an attractive format
  • The provision of high-quality materials in a fast-paced environment
  • Timely follow up / escalation should the project not flow
  • Good organisation of files
  • Managing deadlines and multiple priorities to ensure timely submission
  • Follow up tender submission and log results on tender tracker
  • Provide and analyse statistics on success rate

 

Provide presentations and other sales support documents for salespersons globally

  • Liaise with salesperson(s) to obtain a clear brief of requirements/needs
  • Produce a professional document/presentation within timeframe
  • Creatively present the services in the best light possible for the target market
  • Use of templates and team expertise for efficient use of time

 

Brand consistency and respect of style guides

  • Good organisation of files
  • Strong business writing skills, excellent grammar
  • Assign and log tasks on team register

 

Provision of Partnership Agreements, Customs information, and other legal documentation

  • Attention to detail for the drafting or proofing of legal and customs documentation
  • Use of templates and brand styles
  • Advanced vocabulary
  • Ability to identify and escalate documents and processes beyond the remit of the tenders team

 

Internal processes and Operational requirements

  • Identify improvement opportunities to drive optimal and efficient customer service levels for tender team
  • Implement process and procedural efficiencies and innovations as defined by the team
  • Follow internal processes (file management, tender register, approval processes)

 

Customer Satisfaction and Service

  • Establish and manage solid customer relationships
  • Understand customer needs and provide input into the development and fine-tuning of sales and support materials accordingly
  • Ensure all customer queries are attended to and resolved within agreed timeframes
  • Ensure the delivery of service excellence
  • Gather first-hand customer information and use it for improvements in products and services

 

Skills:

  • Fluent in English
